Traveller profile
A traveller's profile with documents, preferences and loyalty programmes for faster booking. It stores information like passport details, seat and meal preferences, and frequent flyer numbers so they don't need to be re-entered for every trip. A complete traveller profile also speeds up emergency assistance, since key traveller details are already on file.
A traveller profile typically contains the employee's full name as shown in their passport, date of birth, contact details, passport and visa information, frequent flyer and hotel loyalty numbers, seat, meal and accessibility preferences, emergency contacts, department, cost centre and applicable travel policy. Keeping this data accurate prevents booking errors, such as a name that does not match the passport, and saves time for both travellers and coordinators. Some profiles also include known traveller numbers, visa details and preferred hotel chains.
Because profiles contain sensitive personal data, they must be stored securely and handled in line with data protection laws. Access should be limited to people who need it, and data should be kept up to date — for example, when a passport is renewed or an employee changes department. Integration with the company's HR system helps ensure that profiles are created, updated and deactivated automatically.
In Tumodo, traveller profiles are the basis for fast, accurate booking. Employees can add their airline and hotel loyalty numbers to earn miles and points, and integrations with HRIS — including SAP, Oracle and connections via Merge to BambooHR, Zoho, Sage and others — keep employee data up to date automatically. Role-based access levels ensure that each user sees only the information they need. Passport data is kept in the profile for accurate bookings.
