Receipt management
Collecting and storing receipts and expense documents, usually digitally. Modern expense tools let travellers photograph a receipt on their phone, which is then stored and matched automatically to the relevant expense line. This reduces the risk of lost paper receipts and speeds up the approval and reimbursement process.
Receipt management covers the full life cycle of a receipt: capturing it, extracting the key information, linking it to the right expense and trip, checking it against policy, storing it securely and retrieving it later for audits or tax purposes. Many tools use optical character recognition (OCR) to read amounts, dates, suppliers and VAT from a photo. In many countries, digital copies are accepted for tax purposes as long as they meet certain requirements, though rules vary.
For companies, good receipt management is not only about convenience. Missing receipts can mean lost VAT recovery, rejected expense claims and audit findings. When employees keep paper receipts until the end of the trip, many get lost or damaged. Capturing them immediately and storing them alongside the booking and trip details makes the entire expense process faster and more reliable.
Tumodo reduces the number of receipts employees need to handle in the first place. Documents for services booked on the platform — tickets, vouchers, invoices and accounting documents — are generated and stored automatically. For other expenses, employees can scan paper receipts directly in the mobile app, and they are instantly added to the trip documents. Everything stays in one place, available to both the traveller and the finance team.
