Corporate negotiated rates
Special rates a company agrees with hotels or airlines based on travel volume. These rates are typically secured through a travel procurement or RFP process and reflect the company's committed or expected spend with that supplier. They usually come with added benefits, such as flexible cancellation or last room availability.
Negotiated rates can take several forms. With hotels, a company may agree a fixed price per night at selected properties for a year, a percentage discount off the best available rate, or dynamic discounts that change with the market. With airlines, agreements often provide discounts on specific booking classes, bonus points or improved conditions. Suppliers usually expect a certain volume of bookings in return, and the agreed rates are loaded into booking tools using special codes so travellers can access them automatically.
To get value from negotiated rates, companies need both good data and good compliance. Before negotiating, they analyse where employees travel and which suppliers they use most. After signing, they need a booking channel that shows the negotiated rates clearly and reporting that tracks whether committed volumes are being met. If employees book elsewhere, the company loses its bargaining power at the next round of negotiations. Rates should also be regularly compared with public prices, since dynamic market rates can sometimes be lower than the fixed corporate rate.
Tumodo supports both hotel and airline corporate agreements. Companies can sign direct contracts with suppliers or join loyalty programmes, and Tumodo's account managers can handle the process on their behalf or connect an existing tour code directly to the platform. Negotiated conditions then apply automatically when employees book. Every six months, the dedicated key account manager reviews the company's travel activity and suggests ways to cut unnecessary costs.
