Background

Founded in 1993, Biz Group FZ LLC is a well-established corporate training and development consultancy headquartered in Dubai, UAE. With a mission to drive learning, leadership, and performance across organisations, Biz Group serves both regional and international clients through customised training solutions, digital learning platforms, and transformational leadership programs.

The company has a team of around 50 employees, with a significant part of staff involved in client-facing roles that require regular business travel — primarily to Saudi Arabia, but also to other parts of the GCC. On average, Biz Group handles around 20 business trips per month, including both individual and group travel.

Travellers typically require economy class flights with flexible change policies (Flex Plus), and 4-star hotels or above. The company's main needs include bookings that always comply with internal budgetary controls and include a job number for financial tracking purposes. Some trips are booked by travel coordinators, others by the travellers themselves — but in every case, the company needs control, flexibility, and compliance with travel policy.

Challenge

Before using Tumodo, organising business trips at Biz Group took too much time and effort. Coordinators had to manage every step — acting as the go-between for employees and travel agencies. The process usually started when a traveller shared their requirements. Coordinators then sent these to the agency, waited for a response, and passed the options back to the traveller. If the service didn’t fit the budget or schedule, the whole cycle began again. This back-and-forth could happen multiple times for a single trip.

 

There was no automation or direct access for employees, which made everything slower and more frustrating. Coordinators were stuck handling small tasks instead of focusing on their core work. Budget control was manual, and approvals were done separately over email, with no clear tracking. In the end, the process created delays, confusion, and a lot of unnecessary work for everyone involved.

Solution 

Biz Group chose Tumodo for one simple reason — it was easy to use and clearly designed to save time. The platform provided the exact tools that helped to automate what used to be a manual and repetitive process. One of the most effective features was travel policy customisation. The company is now able to set specific rules in advance, such as only allowing economy class flights. Thanks to these guardrails, every booking automatically met the company's standards without the need for constant manual checks.

Another key tool was the mandatory post number field integrated into the booking process. This ensured that every trip was tied to the correct internal project from the start, improving expense tracking and eliminating the need for subsequent corrections. For Biz Group, this small but powerful automation helped improve the accuracy and structure of financial reporting.

The platform also included a self-booking interface with built-in filters, so employees only saw travel options that met the company's criteria. This eliminated the need to correspond with coordinators and external agencies. At the same time, the digitised approval process allowed managers to quickly review and confirm trips in one system — no more emails or disparate spreadsheets.

Result

Implementing Tumodo transformed the role of Biz Group’s travel coordinators. Instead of micromanaging each trip, they now simply review and approve requests. 

 

Employees also felt the change. They no longer have to wait for someone else to handle their travel, they could now book tickets and accomodation quickly and confidently on their own, knowing every option they saw met company policy. This new level of autonomy brought both speed and satisfaction to the process.

 

At the same time, Biz Group gained full visibility and control over all bookings. With built-in safeguards — like job number tracking and policy enforcement — it became easier to stay on budget and ensure compliance across the board.
